The $42,000 employee you didn't know you had

One coordinator buried in paper on the left; on the right, four specialist workalongs passing documents through a connected workflow.

Nobody tracks this number.

I've worked with agencies for 25 years. I've taught digital strategy at Georgian College for 14 of those. And the thing that still surprises me is how many agency owners have no idea what AI is actually costing them.

Not the subscriptions. Those show up on the credit card. I'm talking about the person sitting between the subscriptions.

Her name is Julie

She's a junior coordinator at your 6-person agency. Maybe her name isn't Julie. Maybe it's your office manager, or your most junior account exec, or, let's be honest, maybe it's you.

Here's her day.

9 AM: Copy the client brief into ChatGPT. Rewrite the output because it sounds like ChatGPT. Paste it into a Google Doc. Reformat.

10 AM: Open Jasper for the blog draft. Copy that output into another Google Doc. Different formatting. Fix the headings. Add the client's preferred sign-off that Jasper has never heard of.

11:30 AM: Pull Facebook ad data. Screenshot the graphs. Paste them into a slide template. Do this for four clients. Each one takes 30 minutes because the template is slightly different every time.

2 PM: Write social posts in Canva. No brand voice file. Guess from last month's posts, which were also guessed from the month before that.

3:30 PM: Email all of it for approval. Wait. Chase. Get feedback. Revise. Resend. No tracking. No audit trail. Just email threads that go six replies deep before someone writes "looks good."

That's 6 hours. Every day.

Do the math

Here's the part nobody does.

  • 25 hours per week of manual AI tasks
  • $30/hour blended cost (salary + overhead)
  • That's $750 per week
  • That's $39,000 per year

Add the subscriptions she's toggling between: ChatGPT, Jasper, Canva Pro, maybe Grammarly, maybe a scheduling tool. Call it $300/month. Another $3,600/year.

Total: $42,600.

That's not a rounding error. That's a salary. And you're spending it on copy-paste.

The problem isn't the tools

ChatGPT works. Jasper works. These are good tools. I use them.

But nobody designed the workflow.

Julie isn't failing. She's doing exactly what you asked: use AI to help with content. But "use AI" without a system is just expensive manual labor with a subscription fee.

There's no brand voice file that every tool reads from. There's no handoff between the blog writer and the social media adapter and the designer. There's no approval queue. There's no way to know if the output is on-brand without a human reading every word.

And roughly 5% of it ships with mistakes nobody catches. Silent failures. Wrong tone. Incorrect client details. Off-brand language that makes it through because everyone's moving too fast to review properly.

What if Julie had a system?

I'm not going to tell you to fire Julie. That's not the point.

The point is that Julie is a coordinator trapped in a copy-paste loop. If you gave her a system where specialist AI workalongs handle the drafting, the adaptation, the formatting, and the approval routing, she stops being a cost center.

She starts being the person who manages output instead of producing it by hand.

Her day goes from 6 hours of mechanical work to 45 minutes of reviewing what the workalongs produced. Same clients, same deliverables, different economics.

That $42,600? Most of it goes away. What replaces it is a platform that costs $99 a month.

That's a 35:1 return. And I haven't even counted the quality improvement from having actual approval gates and brand voice consistency.

Nobody tracks this number

Agencies track billable hours. They track ROAS. They track client retention. But they don't track how much time their team spends moving AI output from one tool to another, reformatting it, and emailing it around for approval.

It's invisible labor. And it's eating your margin.

If you want to see your actual number, we built a calculator for it. Takes 30 seconds. Four sliders, your real inputs. It's at workilo.io/roi.

The number is always bigger than people expect.
